HOW MANY PEOPLE ARE YOU EXPECTING?
We host our summer book fairs at Station Park and Mountain View Village, two of Utah’s busiest outdoor shopping destinations.
On an average summer Saturday, each location sees 2,000–5,000 shoppers, not including the reach and turnout generated by our own community, email list, and social media promotions.
In addition to organic foot traffic:
- Our last book fair sold 3,000 tickets
- Many vendors and authors sold out of inventory
- Our upcoming markets already have hundreds of RSVPs and pre-orders
- We actively promote vendors before, during, and after each event
Marketing is not an afterthought for us, it’s a priority.
HOW DO YOU MARKET YOUR EVENTS?
Our marketing strategy varies by event and may include:
• Organic social media content
• Paid digital advertising
• Promotion to our combined community of more than 35,000 social media followers
• Email marketing to more than 8,000 subscribers
• Vendor and author features
• Community partnerships
• Printed flyers and event signage
• Event listing platforms and local calendars
Marketing is a major part of our event planning, and a portion of vendor fees is invested directly into promoting and producing each event.
Vendors are also encouraged to promote their participation to their own audiences.
HOW MUCH CAN I EXPECT TO MAKE?
We do not guarantee sales, attendance, or revenue for any vendor.
Results vary based on product type, pricing, inventory, booth presentation, customer engagement, and overall attendee interest. We work hard to create and market strong events, but vendors are responsible for determining whether an opportunity is the right fit for their business.
WHEN WILL I KNOW IF I HAVE BEEN ACCEPTED?
Application and acceptance timelines vary by event. If a specific notification date is available, it will be listed on the application.
Some acceptances may be sent on a rolling basis, and applications may close early once an event or product category is full.
Please make sure the email address included in your application is correct, and check your spam or promotions folders regularly.
HOW ARE VENDORS SELECTED?
We intentionally curate each vendor lineup to create a balanced and exciting experience for attendees.
Applications may be evaluated based on:
• Product quality and presentation
• Fit with the event and its audience
• Originality and overall brand concept
• Professionalism and previous vendor experience
• Booth presentation
• Available space within each product category
• The number of similar businesses that have applied
Submitting an application does not guarantee acceptance. Acceptance into one event also does not guarantee acceptance into future events.
WILL THERE BE OTHER VENDORS SELLING SIMILAR PRODUCTS?
Possibly. We do our best to create a balanced vendor lineup and limit direct duplication when possible, but category exclusivity is not guaranteed.
Larger events may include multiple vendors within broader categories such as books, apparel, accessories, permanent jewelry, art, or bookish merchandise. Vendors are selected based on their overall products and brand, but some product overlap may occur.
WHAT IS INCLUDED WITH MY VENDOR SPACE?
Your vendor fee includes:
• A designated booth space
• Event marketing and promotion
• Vendor communication and event instructions
• On-site support during setup and event hours
Vendors are responsible for bringing their complete booth setup, including tables, chairs, tablecloths, displays, signage, inventory, checkout equipment, and any other items needed to operate.
If an event includes tables, chairs, electricity, or additional equipment, that information will be clearly stated in the application.
DO I NEED TO BRING MY OWN TABLE AND CHAIRS?
Yes. Unless the application specifically states otherwise, vendors should assume they are responsible for bringing their entire booth setup.
All tables must be covered with a clean, professional cloth tablecloth that reaches the floor on all visible sides. Boxes, totes, extra inventory, and personal items must remain completely out of sight.
CAN I SHARE MY BOOTH WITH ANOTHER BUSINESS?
No. Booth sharing is not permitted unless you have received written approval from VBRNTT before the event.
Only the business listed on the accepted application may occupy the booth. Vendors may not divide, transfer, resell, or give any portion of their booth space to another business.
CAN I SELL PRODUCTS THAT WERE NOT INCLUDED IN MY APPLICATION?
Your products should remain consistent with what was submitted and approved through your application.
If you would like to add a new or significantly different product category, please contact us for approval before the event. VBRNTT reserves the right to ask vendors to remove products that were not approved or that are inappropriate, unsafe, counterfeit, prohibited, or inconsistent with the event.
WHEN IS MY VENDOR FEE DUE?
Vendor fees are due by the deadline included in your acceptance email. Your booth is not secured until payment has been received.
If payment is not received by the deadline, your space may be released to another applicant without additional notice.
DO YOU OFFER PAYMENT PLANS?
Vendor fees must be paid in full by the deadline included in your acceptance email. Your booth is not secured until payment has been received.
We are not currently able to accommodate custom payment plans. However, eligible vendors may have the option to use Shop Pay Installments when checking out through our website. Availability and payment terms are determined by Shop Pay.
We are also working toward offering additional payment options in the future.
ARE VENDOR FEES REFUNDABLE?
No. Vendor fees are non-refundable and non-transferable unless otherwise expressly stated in writing by VBRNTT.
Once a vendor is accepted and payment is received, we begin reserving space, planning the layout, marketing the vendor lineup, and investing in the event. If you can no longer attend, please notify us as soon as possible.
Vendors may not sell or transfer their space to another business.
WHAT TIME ARE SETUP AND BREAKDOWN?
Setup and breakdown times vary by event and will be included in the vendor welcome email sent during the week of the event.
Vendors must check in upon arrival and be completely set up at least 15 minutes before doors open.
Early takedown is not permitted unless there is an emergency and approval has been received from event staff. Vendors who begin packing or leave before the event ends may be charged a $25 early departure fee and may be excluded from future events.
CAN I DRIVE DIRECTLY TO MY BOOTH?
Vendors should not assume that vehicles can pull up to their booth.
Load-in instructions vary by venue and will be included in the event welcome email. We strongly recommend bringing a wagon, dolly, or rolling cart to transport your inventory and displays.
WILL POWER OR WI-FI BE AVAILABLE?
Power and Wi-Fi are not provided unless specifically stated in the event application or confirmed in writing by VBRNTT.
Please arrive with your devices, card readers, and portable chargers fully charged. Vendors should be prepared to use cellular data or a personal hotspot and are encouraged to have a backup payment option available.
VBRNTT cannot guarantee cellular service, internet access, electrical access, or the performance of third-party payment systems.
CAN I REQUEST A SPECIFIC BOOTH LOCATION?
You may include accessibility needs or placement requests in your application or email them to our team before the event.
We will consider requests when possible, but specific booth locations cannot be guaranteed. Vendors may not move or trade spaces without permission from VBRNTT staff.
WHEN WILL I RECEIVE EVENT-DAY INFORMATION?
A detailed vendor welcome email will be sent during the week of the event. It may include:
• Check-in and setup times
• Parking and unloading instructions
• Venue information
• Booth assignments
• Event hours
• Venue-specific policies
• Important event-day reminders
Please read the entire email before contacting our team, as most event-specific questions will be answered there.
WHAT HAPPENS IF VBRNTT CHANGES, POSTPONES, OR CANCELS AN EVENT?
If an event is postponed, relocated, or canceled by VBRNTT, vendors will receive instructions by email regarding the available options under the event’s vendor agreement and applicable policies.
Please review the terms included with your application before submitting payment.
WHERE CAN I REVIEW THE COMPLETE VENDOR REQUIREMENTS?
All participating vendors are required to review and follow our Vendor Guidelines, event application terms, vendor agreement, and venue-specific instructions.
Failure to follow vendor requirements may result in the removal of merchandise, an early departure fee, removal from the event, or exclusion from future VBRNTT events.

Vendor Opportunities at Our Book Fairs
This year, we intentionally expanded our book fairs into larger, high-traffic outdoor venues to create space for more vendors, more readers, and more community.
Our events are free to attend, which means there is no cap on attendance due to ticketing or venue limits. By hosting at destination shopping centers, we’re able to welcome both our existing bookish community and organic foot traffic from thousands of weekend shoppers.
We take our events and our vendors seriously. From strategic marketing and pre-event hype to on-site experience and crowd flow, our goal is always the same: to create book fairs that feel exciting, accessible, and worth showing up for, for readers, authors, and vendors alike.
